This is the general announcement for the VCU mirror of VCU Closed, to be hosted at Virginia Commonwealth University in Richmond, Virginia, on Saturday, February 2, 2013 from 10am to about 6pm. More information about VCU Closed can be viewed at the original announcement for the tournament.
Registration will start promptly at 10am; due to this, we will be doing everything we can to cut the registration time to 15 to 30 minutes, or less. You have no excuse for not being there at 10am; we will start the tournament as soon as registration is done for the teams present, without regard to the number of missing teams. We will also likely take a later lunch: use the extra 1-1.5 hours to get something to eat in the morning! Also: this is a packet submission tournament. Refer to the original announcement for more information.
This also happens to be the date of the VCU Homecoming Parade. The route should not affect anyone coming to the tournament (use Belvidere -> Main or [Boulevard ->] Cary -> Main, depending on the direction you are coming), and the Parade does not start until 11am. However, there may be more traffic than usual.
Location, directions & parking:
The tournament will take place in Grace E. Harris Hall, located at the intersection of Main Street and Harrison Street, in Richmond, Virginia. One will want to park either on the street, or in the West Main Street Parking Deck, which has entrances on Cherry Street and Laurel Street and is nominally located at 801 W Main St. A campus map is accessible here.
Registration & fees:
base fee: $120
buzzer discount: -$5
staffer discount: -$10
travel discount: -$10 per 200 miles one-way as determined by Google Maps
Packet discounts & penalties:
by October 31, 2012: -$60
by December 11, 2012: -$30
by January 1, 2013: +$0
every day after January 1 adds $5 to your fee, with an unless-otherwise-agreed-to deadline of January 22 (+$105). After January 22, you must apply for an exemption to continue accruing $5 penalties, or be dropped from the tournament.
The minimum fee is $0.
To register, you must e-mail me at [email protected] with the number of teams, buzzers, and staffers you intend to bring, an email address where you can be contacted with details, and a mobile phone number in case I need to contact you the morning of the tournament. Feel free to share this announcement with any schools that you think would be interested in attending. There is no further registration form or other action needed on your part in order to be officially registered; you only need to e-mail me at that address with the information requested. Posts made in this thread will not be considered official registrations; you must e-mail me.
Method of payment:
All teams must pay by the day of the tournament. We prefer to accept payment in person right before the tournament starts, but we will accept checks by mail ahead of time if your procedures require it. Teams who do not pay by the day of the tournament will be charged a $25 penalty and will have two weeks to pay their total amount before we start mailing letters to your school administration about it.
We can accept cash, personal checks, or checks from school, school district, or quizbowl club funds. We have no ability to process purchase orders, credit cards, Paypal, or any other forms of payment. Bringing forms of payment outside of the three listed will be considered nonpayment and subject you to the $25 late payment penalty.
All checks must be made out to "Quizbowl at VCU." If you bring a check not made out to "Quizbowl at VCU" and have no other method of paying for the tournament, you will be subject to the $25 late payment penalty.
If you require a pre-tournament invoice in order to have a check cut, let us know by January 12, so that we can send you the paperwork in time. If you do not let us know about this requirement by January 12, and it causes you to come to the tournament without your payment, then you will be subject to the $25 late payment penalty.
Team & roster size:
There may be a maximum of six players on one team's roster, up to four of whom may play at one time. There will be no exceptions to this rule. If you bring more than six players, you must register a second team to have all of them play. There is a halftime substitution opportunity in each game. Each player may appear on only one team's roster throughout the day-no switching from the B team to the A team, etc.
Food:
Neither breakfast nor lunch will be provided by the tournament. We will provide a list of suggested eateries for the lunch break.
