Side Event Weekend 2016 (Michigan) 8/5-8/7

This is the official announcement for the Side Event Weekend 2016 mirror at the University of Michigan in Ann Arbor. We will be hosting as many as possible of the summer side/theme events that have been announced for the "second summer open" this year.

I will be broadly directing the event in conjunction with Auroni Gupta.

This tournament will take place on Saturday, August 6 and Sunday, August 7, 2016. Logistical information will be posted/sent as the day approaches, but for those familiar with recent Michigan summer opens, it will be in a similar location and times as then. We are somewhat limited in our rooms and presumably staffers, but this was not an issue at all last year--just keep in mind that tournament formats for some events might have to be adjusted (quads instead of doubles or vice versa, shootouts) and that we heartily encourage you to staff events you are not interested in playing.

We are copying VCU's format of registration. If you are interested in coming to our site, please e-mail me (and CC Auroni). This will constitute "registration." Please only do this if you are very sure you are going, not that there's a chance or if you're possibly interested. This will register you for the whole weekend as a whole. Obviously you do not have to play or attend every event.

Once you have registered as a participant in the weekend, you will be granted access to a Google spreadsheet on which you may officially form teams for each event. Since only people who have actually registered using their real e-mail addresses will be able to edit the spreadsheet, the spreadsheet WILL be considered the official, binding way to join a particular team. Each event will have its team size and a free agent list indicated in the tab. I have set up the spreadsheet to definitely include the three "main" academic-esque events (Listory, ARTSEE, Culture of Improvement) and a separate tab featuring the other announced events at this time (this is not to be considered a slight--it's just that they are more niche in interest or are somewhat contingent on packet size, and may end up being played as shootouts). If and when other events are made official, they will get added.

Schedule will be made when we see how many people we have, what staffing situation is like, what we're most interested in playing. We can't really commit to anything super early or accommodate any requests for moving the schedule, so just plan on being there both days if you want to play everything. We will obviously try to play the events with the most interest first.

Tournament fees will be decided soon and are contingent on the prices set up by the authors of the various events. If the editor or author of the side event is at our site, you can pay that person directly; otherwise, we will coordinate payment and let you know prior to the tournament how much you owe. As things get closer, I can post a handy chart showing each event and the prices. It is important with all of these moving parts that you bring some form of payment (preferably cash or check).

Again, please e-mail me (Mike Cheyne) at chey0004 AT UMN DOT EDU and Auroni (auronigupta AT gmail DOT com) to register yourself for the weekend, after which you may form teams for each event on the spreadsheet. If you do not have a team but are interested in playing, just put yourself as a free agent for now. We're starting with teams of four, but we can adjust if needed. Post any questions here. We will see you in August.

While the people's will (and time) is ultimately what will decide what gets played (and I'm reasonably certain we can fit almost everything in right now anyway, although some might have to be shootouts or tossup only), I would venture to say we're teetering on the maximum capacity of events right now at our site. Keep that in mind if you're announcing events or attending.

Bumping this thread now that I've written a slightly less verbose, more clear tentative schedule above. BURI complicates things a bit, but probably not that bad.

Bump to note that with a mass registration of Chicago people, we're reaching critical mass in terms of rooms/staff (and we can't really expand them).

The cap is basically closed at 8 teams (ideally), so 32 people, and I think we have like 26 people signed up. Obviously there's some fluidity here as some of those people are staffing some events and shootouts are more amorphous and not everyone is playing everything (especially on Sunday). But if you're on the fence about going, register now or risk being on the waiting list for some things.

Also, just a reminder if that if you already signed up for this, some new events have been added to the doc. Express interest so we can know the interest level for everything.

Final Edit: Could moving some of the more niche things to Friday night work? The people traveling in might have to get there sooner, but since less people fly to this than like a CO, it might work.

After some consultation and feedback, I've created this tentative schedule. I'll take any additional feedback around mid-July when I'll codify it and send it out to all the signed up attendees. Times of start will be TBD.

FRIDAY NIGHT (the 5th, starting around 7 PM)
*CLEAR packets ($2 per packet played)--shootout of some sort. For both of these events, we'll probably do rotating teams because there are bonuses.
*GRAPHIC (free will donation)--shootout of some sort

SATURDAY (registration from around 8:15 to 8:45, start no later than 9 AM)
*Listory (teams, $10)
*Culture of Improvement (teams, free)
*ARTSEE (teams, $10)

SUNDAY (registration from around 8:15 to 8:45, start no later than 9 AM)
*NBA Shootout (shootout, $5). This can be revised to teams if there is time.
*Not Another Trash Tournament (teams, $1 per packet that exists)
*Tricon (shootout, free)
*Guerrilla Film (shootout, free). If there are a ton of Tricon and Film packets, we'll probably try and put a cap on the number of rounds played so we can move along (can always come back if time)
*Eternal Sonata (shootout, free)--I guess this could always be moved to lunch?

Will there be any buzzer discounts? I have a buzzer set that I would definitely be willing to bring but I'm curious if the staff has enough sets already.

Due to the weird nature of the tournament, there will be no staff discounts (not that there are usually are in open tournaments).

Check with Auroni or Will about buzzer discounts; it would be tricky to implement across multiple tournaments, but we may need buzzers and we can probably work something out.

Please sign up and form teams for the events promptly. If you do not have teams formed for events by the evening of the 5th, we'll do that for you.

EDIT: BURI might make more sense as doubles. Everything else is tentatively quads.

I'll have a 20+ tossup vanity music packet to read at some point during the weekend. I was planning on just reading it in the hotel for Eliza, Andrew, and some luckless Illinois youngsters, but the cancellation of BURI means that there might be time to read this to others as well, on Saturday night (or really whenever). So if you liked the same shit I did in 2004, you're in luck!

Note that Culture of Improvement is probably going to be played BEFORE ARTSEE now.

I'd be down to hear this as long as there is pop punk. I was 7 back in 2004 so I was not really that into the music scene but it sounds fun.

We'll meet in the lounge on the mezzanine on the 4th floor of Lorch on all days. The Tappan Street entrance will be unlocked on Saturday and Sunday, but send me a text (226-700-4032) if you can't get in on Friday evening.

I think this went reasonably well. We seemed to get a touch delayed on Sunday, although we did play a lot, so maybe we didn't.
